Data Retention

Tax records are only worth keeping if they are still there when someone asks for them, and only worth trusting if you know exactly what happens when you remove one. This page sets out how long each thing is kept, what removal does, and what we will never do without telling you. It sits alongside the Privacy Policy and the Terms of Service.

    Six years. Records and their original documents are kept for six years from the end of the tax year they relate to — the period the Canada Revenue Agency generally requires.

    Nothing is deleted automatically. There is no job that sweeps old records away, and nothing inside the six-year period is destroyed by the passage of time.

    Removing a record hides it. It leaves your lists, searches and exports at once, and the record itself waits out the retention period. There is no undo button — tell us and we can restore it.

    Erasure is your right. Ask us and we will erase your account, your documents and your records — after telling you plainly what you are giving up.

    Export whenever you like. CSV and PDF, any date range, from the Export screen. Keep your own copy of anything you could not reconstruct.

The six-year rule

Section 01

The Canada Revenue Agency generally requires records and their supporting documents to be kept for six years from the end of the last tax year they relate to. For a calendar-year personal return that means a 2026 receipt is generally kept until the end of 2032; for a corporation the period runs from its own year end. Longer periods can apply in particular cases — an objection or an appeal, a return filed late, or a permanent record such as the history of a capital property — and shorter ones only with the Agency’s written permission.

CININTIRIKS is built around that period rather than around a storage tier: a record and its original stay searchable by vendor, date, amount and expense line for the whole of it. Deciding whether a longer period applies to you is yours; nothing here shortens an obligation you have.

How long each thing is kept

Original documents As long as your account is open, and at least the six-year period in section 1. The file is kept exactly as you supplied it.
Records The same. A record holds what the document says — vendor, date, amounts, document type, the expense line, your note — and the set of books it belongs to.
Correction history Kept on the record for as long as the record is. It is what lets a figure be explained years later: what it was, what it became, and when.
A record you removed Hidden from you at once; the record itself waits out its retention period (section 4).
Your account As long as the account exists. Erased within 30 days of a deletion request we have confirmed with you, apart from what the law requires us to keep.
Server logs For as long as they are useful for running and securing the service, and no longer. They record what happened and an internal account identifier — never the contents of a document.
Messages to us While the matter is open, and for up to two years after it is closed. A message sent through the form on the Contact page is an email to us like any other: it is not stored anywhere else.
Backups A rolling 35-day recovery window for records, and earlier versions of a stored file (section 6).

Electronic images of paper documents

Section 03

The Canada Revenue Agency accepts electronic images of paper documents where proper imaging practices are followed and documented. That is why the original file is kept exactly as received: it is not re-compressed, not cropped, and not discarded once the details have been read from it. What you see six years later is the image you took.

We keep your images; we do not certify your imaging practice. Whether a photograph is legible, complete and taken in a way that satisfies the Agency depends on how you take it. Photograph the whole document, flat and in focus, and keep the paper if there is any doubt.

Closing your account, and erasure

You may close your account or ask for erasure at any time by writing to contact@cinintiriks.ca. What happens then:

Backups exist so that an accident — ours or yours — does not lose six years of records.

Nothing is deleted automatically

Section 07

There is no job that sweeps old records away. Nothing expires, nothing is aged out of your account, and no storage tier decides what to drop. A record leaves your account only when you remove it or ask for erasure — or, at the end of the retention period, only after we have told you and given you a chance to export it (section 10).

Cancelling, when paid plans open

Section 08

Paid plans are not open yet, so there is nothing to cancel today. When they open, cancelling will end the subscription at the close of the current billing month and your records will stay available for export until it does. Export before you cancel. Cancelling is not the same as erasure: it ends the subscription, it does not delete your records, and the retention rules on this page continue to apply.

Exporting

Section 09

Every set of books exports from the Export screen, for any date range: a CSV for a spreadsheet, and a PDF of totals by expense line, each labelled with the Canada Revenue Agency form that set of books uses. On request we will also send the personal information we hold in a structured, machine-readable form — see your rights.
